The Department of Computer Science is seeking a Budget Business Analyst/Research Administrator to join its research administration team. Under the direction of the Department Business Manager and the faculty, this position will support the department's research contracts and grants program. The core duties are:

Research Proposal Support:

Assist assigned faculty, research associates, and postdoctoral research scholars with the submissions of proposals to assure all necessary university and agency requirements are met. Responsibilities include budget preparation and proposal submission in accordance with the funding agency and university guidelines.

Interact with Contracts and Grants to verify and update actual account budgets and notify faculty of the receipt of award. Verify applicable fringe and overhead rates.

Account Management:

Process, track, and post expenditures for travel reimbursements, settlements of advances, and invoices on the assigned accounts. Expedite procurement orders and reimbursements, requisitions, and foreign drafts.

Coordinate payroll activities with PI for supported on sponsored accounts. Reconcile and review monthly accounts statements and provide faculty with account summaries and projections quarterly, or more frequently if requested.

Monitor account activity and reconcile accounts to assure that all account activity is related to the project and is charged appropriately. When discrepancies are found, inform faculty and take corrective measures such as processing budget changes when necessary to comply with original scope of work. Verify with agency guidelines to assure compliance with the specified requirements.

Monitor and track project periods to ensure extensions on research projects are requested in a timely manner. Consult agency guidelines to provide faculty with options regarding extensions on research periods. Work closely with the Office of Sponsored Projects Accounting should any questions arise on continuing and expiring awards.

Keep informed regarding agency funding/spending guidelines and restrictions. Communicate information to faculty and other research-related staff to ensure that guidelines set forth by agencies are followed.

Keep in compliance with USC/School/Departmental expenditure policies and procedures to advise faculty and research related-staff to assure these policies are followed when handling their requests for all purchases, including but not limited to: equipment, travel arrangements, conference registrations, supplies reimbursement, and travel expense reimbursements, etc.

Financial Reports:

Keep electronic records of fiscal summary of research budget/expense/balance for review in the staff shared drive.

Coordinate with SPA and DCG for award verification of financial and/or progress reports requested by agencies for continuation, and for the submission of final reports.

Using the eCERT Effort Certification Online System, review and prepare quarterly and semester reports for all faculty that serve as Principal Investigators.


Coordinate lunch meetings for faculty and research groups. Coordinate travel reservation and payment requests for faculty and research groups.



Department Payroll Assistant

The Department of Computer Science in the USC Viterbi School of Engineering is seeking an Administrative Assistant II to join its team, as a liaison to the School and central administrations to perform payroll duties for the department. This is a large academic and research department. The ideal candidate will be experienced in handling a wide range of administrative office tasks. The incumbent will work closely with faculty, staff, and students to perform administrative, financial, and business, payroll and operational functions to support the department and will report directly to the Department Business Manager.

Responsible for coordinating, preparing, reviewing and submitting a variety of payroll and personnel documents for faculty, staff, and students. Serve as resources to department on payroll matters.

Process monthly and bi-weekly payroll. Will manage new hire, termination, pay instructions, offer letters, end of semester certification.

Ensure confidentiality of all personnel information and controls access to personnel files. Ensure compliance with state, federal, and University policies.

Manage and prepare all immigration and visa matters related to faculty, staff, and students. Serve as point of contact for all visa matters. Manage all documentations, including new petitions, extensions, and continuation. Obtain necessary approvals and signatures for all visa paperwork.

Coordinate graduate student financial aid awards and enter the awards into the USC system. This includes tuition, stipend, and fees (i.e., health and dental coverage, health center fees).

Reconcile payroll spending on instructional accounts against the budget projection. Prepare ad hoc reports for management and maintain data in the electronic shared file.

Assist the Business Manager for data collection and compile survey information for annual or semi-annual reviews that are required for the units.

Perform other related duties as assigned.
